The Opportunity 

As our Senior Business Operations Manager, you will be responsible for driving the organization’s operational excellence and report directly to the Chief Operating Officer. You will be a key contributor to the development and execution of strategies to create effective support function offerings and serve as a liaison between our technical activities and support functions. You’ll do this with an eye on efficiency, compliance and growth of the organization.

You are a self-starter and a  detail-oriented perfectionist with the skills to make everything hum like a fine clock. You are a strategic and analytical thinker, excellent at prioritization and execution, a solid player and coach and have stellar communication skills.

Responsibilities

  • Identify and execute on opportunities to improve the effectiveness and engagement of our organization and its processes 
  • Coordinate with finance to help define support function budgets and processes; track budget expenditures and manage accruals; develop implementation alternatives to guide business decisions
  • Partner with support functions, technical teams and the Leadership Team to achieve plans and bridge gaps 
  • Provide guidance to clarify, plan and monitor operational performance 
  • Help improve ways of working, workflows and standards for operations 
  • Issue periodic status reports on operational costs, schedule and scope
  • Work with the support function teams to draft, track, and manage contracts including management of vendors
  • Identify potential contractors and organize RFPs / RFIs
  • Manage the workflow of contracts and store documentation for audits
  • Perform contract business checks to ensure their correct execution, keeping tabs on expiring and auto-renewing contracts 
  • Assist teams in identifying and following up on risks and opportunities
  • Conduct periodic and ad hoc data analysis and articulate results in tabular and graphical formats, reach conclusions and provide sound advice to stakeholders and leadership
  • Generate progress and activity reports
  • Meet with and receive feedback from internal stakeholders on an ongoing basis
  • Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding, and distinguish requests from the underlying true needs
  • Present and articulate solutions to management and/or teams  
  • Conduct regular training on operational processes to teams
  • Produce documentation in multiple formats to support operational needs
  • Maintain a shared knowledge repository for all operations processes; ensure company Intranet information remains up-to-date 
  • Drive alignment and facilitate meetings 
  • Evaluate new software tools to increase efficiency and user experience

Requirements 

  • Bachelor’s degree 
  • Minimum five years of progressively ambitious work experience focused on business and people performance
  • Demonstrated track record in project management and managing budgets / financial accounting 
  • Experience dealing with external suppliers, managing contracts and negotiating
  • Ability to effectively influence others at various levels within the organization 
  • Passion for increasing team productivity
  • Interpersonal skills that enable you to lead and coordinate others to accomplish goals
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Strong problem-solving skills, critical thinking, troubleshooting, and root cause analysis
  • Ability to create and maintain a well-structured environment through development of standards and procedures
  • Ability to write technical and business documents
  • Ability to plan, execute, and improve work processes to ensure achievement of business objectives
  • Highest standards of accuracy and precision; highly organized

  • Familiar with project management software e.g., Asana, JIRA, or similar
  • Familiar with Google Suite tools and Slack
  • Highly skilled at creating compelling slide presentations, graphs and charts 
  • Some travel required
  • Documented proof of fully vaccinated status required (or qualify for an exemption)
